How Reata Successfully Quoted a 1,000-Piece Medical Assembly in Record Time

At Reata, we excel at tackling complex projects strategically and efficiently. Recently, our team was tasked with quoting a 1,000-piece medical assembly. Yes, you read that correctly—1,000 individual parts numbers in a single assembly!

Despite the intricacy and scope of this project, our quoting process was completed significantly faster than expected. In fact, our quote turnaround time was practically unheard of. We outpaced our competitors—who relied on mostly manual processes—by nearly tenfold in terms of efficiency.

It wasn’t speed alone that made us successful in this project; it was the combination of clear communication, cutting-edge software, and thorough attention to detail. Here’s how we accomplished this challenge:

Our Technical Solution of Choice: Paperless Parts 

A major reason we could quote this complex assembly so quickly was our use of Paperless Parts, a software solution that automates many of the manual processes involved in quoting. This tool streamlined the entire process. To be honest, without the functionality of Paperless Parts, the Reata team might still be quoting this assembly.

Here are some of the features that made this complex assembly possible:

  • Organized BOM breakdown: One of the most challenging parts of quoting a project with hundreds—or, in this case, 1,000—part numbers is ensuring that nothing gets lost in the shuffle. With Paperless Parts, the Reata team could pull up a detailed BOM breakdown that showed all the components and subassemblies in a tiered flow, providing us with a clear view of the entire project. 
  • Part number search: For an assembly with so many pieces, the ability to search by part number was a game-changer. When we weren’t certain where a specific part belonged or needed clarification on a line item, the software’s search function helped us find the information we needed.
  • Real-time pricing: The software’s real-time pricing on materials was another valuable feature. This was critical for a project like this, where we dealt with a smaller quantity of each part—but a high volume of part numbers. Reata acquired accurate pricing without chasing down vendors for material quotes, something we didn’t want to burden our suppliers with—especially since we weren’t guaranteed to win the bid yet.

Clear Communication and Trust

From the moment we received the request for quote, we knew communication would be critical in ensuring we could quote this complex assembly accurately and without delay. Both our team and the customer worked closely in a team effort. Whenever we had any questions about the prints or if we needed clarification on specific details, our customer responded promptly so we could avoid bottlenecks. 

This teamwork was especially valuable, given the complexity of the assembly, where not all the details were fully defined. In cases where material selection or color wasn’t specified, the customer entrusted us with the flexibility to make the best decisions based on the assembly’s requirements. Their trust in our expertise allowed us to stay on schedule and deliver exactly what was needed.
